Job Summary:
Travel partner will be responsible in managing end to end travel and mobility aspects for the UK and Europe geography. They are expected to manage stakeholders such as employees of the company on all levels and vendors to fulfil their duties according to the company stipulated polices. They will be the first point of contact for any travel related aspects for the geography.
Main duties/responsibilities will include:
- Effectively and efficiently handle all travel related queries and respond to stakeholders within the SLA’s. Making sure stakeholders and employees kept informed of any updates and setting right expectations.
- Be the liaison with the travel, hotel and cab vendors in ensuring the efficiency and speed of all arrangements, cost optimization, invoice and payment matters and service level adherence.
- Identify most suitable routes for travel, including the use of appropriate airlines whilst driving reasonable possible rates.
- Facilitate communication between the organization and the chosen travel agency, making sure that the travel agency understands what requirements must be met and review all of the agency’s bookings for accuracy, cost-effectiveness and policy adherence.
- Research on optimal travel alternatives and cost saving options for the company as per travel policy
- Updating and maintaining master tracker for travel arrangements on a daily basis.
- Adhering and advising on company travel reimbursement policy
- Manage approval matrix and exceptions as per company process / Policy.
- Review associated invoices as well as statements for accuracy
- Recoding and following up on the cancelations and refunds from the Vendors.
- Monitor and report on vendor service issues, possible escalations or issues.
- Maintain a good vendor relationship.
- Creating traveler profiles for New joiner and guide them on self-booking Tool.
- Managing audit compliance and reporting.
- Submitting monthly reports
Key Skills and Experience required for this role;
- Minimum 2+ years of Travel management
- Excellent skills on Microsoft Office
- Good command on speaking and writing English.
- Smart coordination skills
- Good understanding of cultural differences
- Able to adopt quickly to new environments or changes.
- Basic immigration knowledge
- Ability to learn new things.
- Adhering to SLA and process / policies
